Planning a wedding in Italy is a thrilling adventure, but creating a detailed timeline for your big day is essential for ensuring everything runs smoothly. Once you’ve secured your venue and confirmed the date, it’s time to outline the schedule for your wedding day. While this guide focuses specifically on the wedding day, many of these principles can be applied to other events surrounding your celebration.

As a wedding photographer, I believe that capturing your special moments is the most important part of your day. Therefore, I often base my timelines around what works best for photography. After all, other than your memories, the photos are the lasting keepsakes from your wedding.
Understanding Your Wedding Day Timeline
While there’s no “one size fits all” approach to creating a wedding timeline, I’ll provide a common scenario to help illustrate how to structure your day.
Assumptions for Your Timeline
Let’s assume you’re having a destination wedding in Italy on a sunny day, with a symbolic blessing ceremony outdoors in a beautiful garden. You want to enjoy cocktails and aperitifs after the ceremony, followed by dinner. If the weather permits, you’ll likely want to savor the sunset before dining under the stars.

Step 1: Determine Sunset Time
The first step is to find out what time the sun will set on your wedding day. You can quickly check this by searching for “sunset time [your wedding location] [your wedding date].” For example, “sunset time Florence Italy August 7, 20XX” might yield a sunset at 8:30 PM.
Step 2: Build Your Timeline Backwards
With the sunset time established, you can start filling in the other events around it.
Since your guests are traveling to celebrate your unique wedding, you want them to enjoy the experience without feeling rushed. Unlike traditional weddings, destination weddings offer a more relaxed atmosphere, allowing guests to savor the moment.

Proposed Timeline
Here’s my suggested timeline:
- 8:30 PM – Sunset
- 6:30 PM – Start cocktails (lasts for 2 hours)
- 6:00 PM – Ceremony (approximately 25 minutes)
Detailed Breakdown
- 6:00 PM – Ceremony (25 mins)
Your ceremony marks the beginning of your new life together. If you’re having a church wedding or a longer ceremony, adjust the time accordingly. For tips on organizing your ceremony, refer to my article on how to have an intimate symbolic blessing ceremony in Italy. - 6:25 PM – Exit the Ceremony
Celebrate your union with a traditional rice or petal toss. - 6:30 PM – Start Cocktails (2 hours)
Guests can enjoy drinks and appetizers while you take some time to socialize. This is a great opportunity to capture candid moments as everyone mingles. - 7:30 PM – Family/Group Photos (15 mins)
After cocktails, it’s time for family and group photos. Having a pre-discussed list of must-have shots will streamline this process. For more on capturing these moments, check out my article on how to choose and book a wedding photographer. - 7:45 PM – Couple Photo Session (45 mins)
This is the perfect time for romantic portraits, ideally timed to catch the beautiful sunset light. For tips on timing your photos, see my article on the best time to take wedding photos. - 8:30 PM – Guests Invited to Dinner
As the sun sets, it’s time for guests to transition to the reception area. You can have an usher guide them. - 8:30 PM – Bride and Groom Enter Dinner
Make your grand entrance into the reception, perhaps with an announcement to celebrate you as a couple. - 8:35 PM – Speeches
I recommend having speeches at the beginning of the dinner. This allows speakers to relax and enjoy the meal afterward. - 8:45 PM – Dinner Service Begins
Typically, dinner service takes around 30 minutes per course. Plan accordingly based on your menu. - 10:45 PM – Cake Cutting
After dinner, it’s time for the cake cutting ceremony. - 10:50 PM – First Dance
Celebrate your first dance as a married couple, followed by dancing for all your guests. - 11:00 PM – Party Time!
Let the celebrations continue into the night!

Step 3: Consider Pre-Ceremony Details
You also need to allocate time for hair and makeup. Consult with your stylist to determine how long they need per person, and if you have multiple people requiring styling, ensure they have enough assistants. For more on this, refer to my article on hair and make-up wedding Italy.
If you plan to have a first look before the ceremony, factor in that time as well.
Sample Timeline

- 4:45 PM – Hair and Makeup Finished
